Role Overview
The Fine Art Estimate Coordinator is a quoting specialist responsible for scoping, costing, and preparing estimates for art handling projects, from the initial client brief through to delivery. This includes obtaining supplier and partner agent quotations (crate manufacture, transport, customs), consolidating costs, and producing accurate, client-ready proposals. The role works closely with operations and client services teams to ensure quotes are timely, competitive, and aligned with client requirements.
Key Responsibilities
Interpret client briefs and project requirements.
Prepare detailed quotes for national and international art shipments (air and road), packing/crating, handling, customs/duties/VAT, partner agent costs, etc.
Solicit, compare, and consolidate quotations from suppliers, crate makers, freight carriers, and partner agents.
Produce clear proposals including assumptions, terms & conditions, lead times, and cost breakdowns.
Follow up on outstanding quotes and liaise with clients as needed.
Build and maintain strong relationships with clients, agents, partners, and suppliers to ensure reliable service and competitive pricing.
Maintain accurate records of all estimates and related communications.
Manage multiple quote requests simultaneously while meeting tight deadlines.
Candidate Profile
- Minimum 2 years’ experience in freight forwarding, logistics estimating, art handling, event coordination, auction house operations, or project coordination.
- Experience with international shipments, customs clearance, or partner agent coordination is an advantage.
- Strong Excel skills.
- Excellent written and verbal communication skills; confident in a client-facing role.
- Highly organised with strong attention to detail and the ability to prioritise.
- Commercially aware and solution-focused.
- Integrity, professionalism, and discretion when handling high-value art pieces.
Desirable skills
- Previous experience in fine art logistics.
- Familiarity with international shipping regulations, especially relating to fragile or high-value items.
- Experience liaising with museums, galleries, or private collectors.
